Rental Terms & Conditions




A.   Fundamentals

  1. AFNI CAMERA & SERVICES reserves the right to amend all terms, contents, or rental prices without prior notice.
  2. By contacting AFNI CAMERA & SERVICES, you have understood and agreed to all the terms and conditions listed below.
  3. AFNI CAMERA & SERVICES reserves the right to refuse transactions with individuals or companies that disagree with the content of these terms and conditions.
  4. Corporate Customers
    1. The procedures set by AFNI CAMERA & SERVICES are the same for individual and corporate clients and cannot be adjusted to match the client’s corporate procedures, particularly regarding payments and booking dates.
    2. FULL QUOTATIONS or invoices will only be provided upon request.
    3. Receipts/invoices will be issued only upon request after payment and upon successful completion of the rental without any issues.
  5. Repeat customers are assumed to understand all terms and conditions, including any updated information that has been publicly shared.
  6. All communication must be conducted in writing, preferably through the WhatsApp platform.

B.   SIMPLE QUOTATION, FULL QUOTATION and RENTAL AGREEMENT

  1. Rental prices are agreed upon through written communication channels.
  2. For agreement and as the basis for the RENTAL AGREEMENT, a written SIMPLE QUOTATION will be made through the communication channel prior to the rental date.
  3. The RENTAL AGREEMENT will take effect when the RENTER provides written agreement through the communication channel regarding the SIMPLE QUOTATION or FULL QUOTATION, and it will remain in effect throughout the RENTAL PERIOD until the RENTAL ITEMS are returned to AFNI CAMERA & SERVICES in good condition.
  4. The SIMPLE QUOTATION includes basic information such as:
    1. RENTER’s Name
    2. RENTER’s Phone Number
    3. RENTER’s IC Number
    4. Date and time of pick-up and return, as well as the RENTAL PERIOD
    5. List of RENTAL ITEMS
    6. Total rental price
    7. Total payment including deposit
  5. If the RENTER requests a FULL QUOTATION, the FULL QUOTATION will supersede the SIMPLE QUOTATION.

C.   Renter Eligibility

  1. Only Malaysian citizens are eligible to rent.
    For Malaysians only. No foreigners.
  2. Complete documents as outlined in the rental process must be provided.
  3. If you are renting on behalf of another party, the responsibility lies with the registered RENTER.

D.   RENTAL PERIOD Calculation

  1. The RENTAL PERIOD is calculated as 24 hours from the time the agreed-upon RENTAL ITEMS are picked up.
  2. The time and date for the pick-up/return of RENTAL ITEMS will be agreed upon prior to the rental.
  3. Requests for extensions during the RENTAL PERIOD will not be entertained.
  4. Exception is given when the RENTER gave written prior notice and approval have been obtained from AFNI CAMERA & SERVICES regarding the applicable changes.

E.    Condition of RENTAL ITEMS

  1. The RENTER must inspect the condition of the RENTAL ITEMS before renting to ensure everything is functioning properly to avoid any issues.
  2. Each RENTAL ITEM may have different settings altered for the convenience of previous renters. If unfamiliar, the RENTER is advised to understand how to operate the RENTAL ITEMS before using them for their intended purpose. AFNI CAMERA & SERVICES will not compensate for issues arising from incorrect settings.

F.    PRE-BOOK & Booking

  1. AFNI CAMERA & SERVICES applies a policy of date booking along with payment only.
  2. PRE-BOOK
    1. Once the RENTER agreed upon the SIMPLE QUOTATION or FULL QUOTATION via written communication channels, the RENTAL ITEMS will be reserved for 1-hour as standard, or other specified period as disclosed by AFNI CAMERA & SERVICES in the written communication channel. This is called PRE-BOOK period.
    2. If AFNI CAMERA & SERVICES did not receive a written acceptance to the SIMPLE QUOTATION or FULL QUOTATION from the RENTER within 1 hour, the RENTAL ITEMS will not enter PRE-BOOK state, and it will still be open to the market for rent.
  3. Please make full payment of the booking fee as disclosed by AFNI CAMERA & SERVICES in the written communication channel, either via bank transfer or cash, within this PRE-BOOK period. Failure to do so will result in the booking being cancelled, and as such the RENTAL ITEMS will become available to other people for rent again.
  4. Bookings without any payment will not be accepted. AFNI CAMERA & SERVICES reserves the right to rent out the items to customers who make payments first, without prior notice.
  5. Cancellation of Booking
    1. Booking payments received will not be refunded upon cancellation.
    2. The equivalent value may be used for future rentals within a one-month period after cancellation if the RENTAL ITEMS have not been collected. If no rental is made within this period, the booking payment will be forfeited.

G.  Payment and Deposit

  1. Full payment must be completed before or during the collection of the RENTAL ITEMS.
  2. If using a bank transfer, payment must be made via IBFT (Instant Transfer) instead of IBG (Giro Transfer). Payments made via GIRO will only be considered received once the transaction appears in the AFNI CAMERA & SERVICES account. No exceptions are made even with proof or receipts.
  3. Payment in other forms, such as checks, credit cards, purchase orders (POs), or credit terms, is not accepted.
  4. Deposit
    • A deposit is required in accordance with the rental price of the RENTAL ITEMS.
    • The deposit will be refunded once the RENTAL ITEMS are returned without any issues.
    • Deductions from the deposit will be made if there are issues, including but not limited to minor damages caused by negligence on the RENTER’s part.

H.   Refund

  1. Costs and risks are the responsibility of AFNI CAMERA & SERVICES once the RENTAL ITEMS are handed over to the RENTER.
  2. No refunds will be provided for reasons including but not limited to the following:
    1. RENTAL ITEMS were not used or there was no time to use them.
    2. RENTAL ITEMS were returned earlier than the actual RENTAL PERIOD.
    3. Incorrect booking of RENTAL ITEMS.
    4. RENTAL ITEMS could not be used due to RENTER’S equipment being damaged/incompatible/different specifications. Example: Renting a lens from AFNI CAMERA & SERVICES while the user’s camera is damaged or incompatible, or renting a cable of incorrect specifications.
    5. Lack of knowledge in using the equipment or improper setup.
    6. Cancellations by third parties.
  3. Refunds will only be provided if:
    1. Natural or unforeseen damages occur to the RENTAL ITEMS, such as shutter, aperture, or autofocus malfunctions.
    2. Mistakes originating from AFNI CAMERA & SERVICES, such as overlooked or uncontrollable errors (e.g., damaged items before pickup or items not yet returned by other renters).

I.       Pickup and Delivery

  1. The default pickup and delivery location are around Skudai, Johor Bahru.
  2. Any changes to the pickup or delivery location will be communicated and agreed upon through written channels.
  3. Delivery/return services are not provided for free.
  4. Requests for delivery/return to other locations can be considered based on time and current conditions, with an additional charge of RM100 per movement (pickup or return). This charge must be paid in advance before any delivery.

J.      During the Rental Period

  1. During the RENTAL PERIOD, the RENTER is responsible for taking care of the RENTAL ITEMS diligently.
  2. Any negligence resulting in damage is the responsibility of the RENTER, who agrees to bear all costs or compensation required for the repair of damages caused by their own carelessness.
  3. Charges will be applied by deducting from the deposit if there are additional scratches or significant wear compared to the original condition.
  4. AFNI CAMERA & SERVICES strives to provide RENTAL ITEMS in the best possible condition, free from issues. However, AFNI CAMERA & SERVICES will not be held directly or indirectly responsible for any losses or costs incurred if the RENTAL ITEMS malfunction naturally during the RENTAL PERIOD. Likewise, no additional charges will be imposed if the damage is caused by natural factors. Refer to [(H) Refunds, Term 3].

K.    Privacy Policy of PERSONAL INFORMATION

  1. The RENTER’s PERSONAL INFORMATION will be collected by AFNI CAMERA & SERVICES during the consultation session.
  2. The PERSONAL INFORMATION is required to ensure the security of the RENTAL ITEMS owned by AFNI CAMERA & SERVICES.
  3. The RENTER’s PERSONAL INFORMATION will remain confidential and will not be disclosed to third parties unless in cases of fraud or irresponsible behaviour on the part of the RENTER. Refer to [(L) Breach of Rental Agreement, Term 3].
  4. Providing PERSONAL INFORMATION is mandatory, and AFNI CAMERA & SERVICES reserves the right to decline transactions if the RENTER does not cooperate in providing the required information.
  5. Incomplete PERSONAL INFORMATION, inactive social media accounts, or locked/private profiles will disqualify the individual from renting.
  6. AFNI CAMERA & SERVICES will dispose of the PERSONAL INFORMATION after 7 years if there has been no transaction with the RENTER within that period.

L.    Breach of Rental Agreement

  1. Rental Agreement
    1. By agreeing to the SIMPLE QUOTATION or FULL QUOTATION, the RENTER will be deemed to agree to the to all contents in this TERMS & CONDITIONS document.The SIMPLE QUOTATION or FULL QUOTATION and this TERMS & CONDITIONS document serves as the basis for the rental agreement between the RENTER and AFNI CAMERA & SERVICES.
    2. The agreement becomes effective once the RENTER agrees in writing to the contents of the SIMPLE QUOTATION or FULL QUOTATION via communication channels in written during the negotiation process.
  2. Delay
    1. To ensure smooth transactions between customers and AFNI CAMERA & SERVICES, as well as with other customers, delays are not allowed.If an unintentional delay occurs, refer to [(D) RENTAL PERIOD Calculation, Term 4] applies.Failure to provide a reasonable cause for the delay will result in additional charges, calculated as twice the original rental price.
    2. If a delay exceeds 12 hours without any response, AFNI CAMERA & SERVICES will classify it as a theft case.
  3. Theft
    1. AFNI CAMERA & SERVICES reserves the right to use the personal information provided by the RENTER for claims or loss purposes via police reports, social media announcements, and other means deemed necessary.
    2. RENTERS classified as involved in theft cases will be permanently blacklisted.

M. Miscellaneous

  1. Requests to view RENTAL ITEMS for the purpose of surveys or inspections must be made by appointment only.
  2. Walk-ins are not allowed. Please ensure that you understand the Rental Procedures before making any appointments.
  3. Any inquiries or advice regarding the use of RENTAL ITEMS can be made through phone calls or WhatsApp.
